Your Opportunity

We are looking for a Marketing and Technical Administrative Assistant to join the Building Specialty Service group reporting to the Department Managers in our Oakland and Los Angeles offices. The focus of this position is twofold:

  • To assist with proposal writing, and marketing material development
  • To provide project documentation and administration support to Project managers, Department Manager and Director
  • To assist in finding proposal opportunities in the California market

Your Key Responsibilities

The Marketing & Project Coordinator shall be responsible for, but not limited to the following:

  • Write simple/standard proposals for Project Managers (PMs) and assist the Business Development Manager (BDM) in the preparation of larger more complex proposal
  • Maintain contact relation management database and create new opportunities as required
  • Work on the creation and maintenance of marketing material (proposal templates, resumes, project info sheets, and other documents) with the guidance of BDM
  • Help prepare and format PowerPoint presentations
  • Assist project managers with project administrative activities such as scheduling, quality management, tasks tracking
  • Edit, format and assemble project documents for specifications, assessment reports, warranty reports, maintenance manuals and reserve fund study reports
  • Assist with contract administration including change orders and payment certification
  • Organize and set-up project kickoff meetings, office meetings and technical seminars
  • Develop meeting minutes to identify, follow up issues and assignment of tasks

Your Capabilities and Credentials

  • Excellent customer service and interpersonal skills
  • Excellent written and oral communications skills
  • Ability to work well in a team environment or independently
  • Detail-oriented work ethic
  • Strong computer skills in Word, Excel, Power Point, SharePoint and MS project
  • Excellent interpersonal, written and oral communication skills
  • Extremely detailed oriented
  • Ability to exercise good judgment, show initiative and be proactive

Education and Experience

  • Skills and experience in Bluebeam an asset
  • Proven experience with deadlines and time-sensitive projects

Typical office environment working with computers and remaining sedentary for long periods of time.
