Your Opportunity

You will play an integral part in executing efficient and effective expediting and material management activities of projects to ensure timely delivery of documentation, materials and equipment to meet project requirements. This position will require exercising independent judgement in performing assigned tasks and report status of equipment and material deliveries to the project team using tracking reports.
 
Please note this position is currently a 1 year contract, with the potential to extend or become permanent.

Your Key Responsibilities

  • Regularly update and maintain Project Expediting Tracking report(s) for distribution to client and internal stakeholders.
  • Track and expedite materials and/or equipment packages & vendor data to maintain schedule and milestones for procurement deliverables.
  • Chair kick-off meetings and maintain records of meeting minutes for critical equipment packages to ensure all stakeholders understand deliverables and expectations.
  • Expedite vendor documents as per schedule requirements.
  • Coordinate with Document Controls, Project Managers, and Engineers to ensure timely approvals of vendor documents to meet the required fabrication commencement date of equipment.
  • Assume the role of point of contact for the project team regarding the status of equipment/material.
  • Maintain seamless communication with suppliers and/or sub-suppliers to ensure clear understanding of required delivery dates of materials/equipment.
  • Chair regular status meetings with vendors to ensure deliverables are met as per schedule.
  • Predict potential problems, slippage or delays and pro-actively implement corrective measures to resolve the issues or mitigate the impact.
  • Ensure all work activities are in strict compliance with corporate policies and procedures.
  • Work closely with Inspections/Quality team to coordinate timely inspections.
  • Attend project team meetings - accountable for presenting accurate and up-to-date information regarding equipment and material status.
  • Assist with invoice approval to pay or withhold payment based on the receipt of vendor documentation.
  • Receive or track Material Receiving Reports.
  • Assist with Procurement closeout of PO's and Contracts.

 

Your Capabilities and Credentials

  • Ability to work with others on large complex projects.
  • Able to solve complex problems using sound professional judgment, creativity and innovation.
  • Advanced written and verbal communication skills.
  • Ability to negotiate and resolve disputes with vendors/clients.
  • Able to work under pressure and meet tight deadlines.
  • Ability to multi-task, work on several projects or tasks at once, manage time, organize, and set priorities.
  • Advanced skills in use of Microsoft (MS) Office Suite.
  • Previous work experience with the procurement cycle in a EPCM or Oil & Gas end user environment is an asset.

Education and Experience

Post secondary education in Business Administration or equivalent in related field; or equivalent combination of education and experience. Minimum of 3-5 years of experience. 

Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
