Join a Top 10 global design firm in our Buildings practice that provides Architecture, Interiors, and Engineering services with a long history and deep commitment to the health sector.
The Project Manager Assistant provides timely, accurate, and professional project and administrative support to architectural leadership and project management staff in keeping with Stantec's high standards. This is primarily a remote position, but will require periodic office attendance for meetings, training or additional project requirements.
Your Key Responsibilities
- Work closely and Support Senior Project Assistance with related project coordination items.
- Provide dedicated project and administrative support to multiple studio leaders and project managers.
- Project initiation - forms and project filing.
- Assist the project manager with process plan review applications and project documentation related to meeting document requirements for agencies having jurisdiction documentation, such as HCAi (California Department of Healthcare Care Access and Information).
- Provide construction administration support to the Project Team, including maintaining submittal, Request for information (RFIs), Amended Construction documents (ACDs), NMAs (Non-material alteration) Logs, and conformed construction documents.
- Support teams by maintaining coordination for client-related portals, Trimble. Tasks includes, processing of action items, open/close/manage action items. Route RFIs and submittals.
- Schedule meetings, travel, and events.
- Occasionally provides coverage for administrative staff, assisting with staff inquiries and requests.
- Assist with Meetings, including set-up via MS Teams, taking meeting minutes and notes, finalizing notes, and distributing meeting minutes.
- Support general project organization, including tracking milestones and maintaining project schedules
Your Capabilities and Credentials
- Professional experience in the architecture/engineering/planning industry is preferred but not required.
- Clear understanding of service offerings provided by the discipline(s) studio(s).
- Working knowledge of Newforma preferred.
- Working knowledge of Trimble and HCAI eServices Portal preferred but not required.
- Ability to deftly manipulate data within spreadsheets and database systems.
- Strong knowledge of business communication standards for email, correspondence, and telephone etiquette.
- Strong detail orientation and ability to organize and prioritize a diverse array of assignments and duties.
- Ability to operate telephone system and standard office equipment.
- Strong verbal and written communication skills.
- Ability to maintain a professional, polished appearance and demeanor.
- Excellent interpersonal skills.
- Ability to read, interpret, and act upon the requirements outlined in agreements and contracts.
- Strong working knowledge of Microsoft Office with expertise in Outlook, Word, and Excel and working knowledge of SharePoint.
Education and Experience
- Associate of Arts degree or higher in related field.
- 2+ years’ experience in a professional office environment as an administrative professional or equivalent combination of education and experience.
- Familiarity with Newforma transfer and record-keeping software a plus.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
