Proposals Team Leader
The core duties of this role are to Lead Community Development Proposal Team in writing proposal / fee submissions, business development, and having accountability for local marketing activities, Pipeline data accuracy and project write-ups.
We’re looking for a Proposal Team Lead with strong proposal writing and team leadership experience to join our team. This role offers the opportunity to work in a skilled team of proposals coordinators and engineers to produce high quality proposals / fee estimates, and other business development materials, and client deliverable in a timely and efficient manner.
This role will consist of 50% project report quality review submissions, 20% proposal support assistance and 30% with other proactive administrative activities to support the Business Center Operations Leader (BCOL), Business Leader and Market Leaders within the Community Development Business Australia business.
The role can be based in any of the following Stantec office locations: Perth (Adelaide Terrace), Brisbane (Springfield), Sydney (St Leonards) or Melbourne (Collins Street).
Day to day tasks would involve but not limited to:
Coordinate & prepare submissions and fee proposals in conjunction with the leaders and provide assistance to specialist teams as required.
Coordinate with the Proposal team in Australia and the Proposals team in Pune, India to facilitate the use of resources in both teams to deliver bids for Community Development Australia.
Ensure the quality, layout and formatting of all documentation is consistent with Stantec’s brand and make all necessary effort to minimise spelling and grammatical errors.
Assist with managing conformance to the quality assurance requirements.
Support the teams in the continual improvement of Stantec quality fee proposals and proactive implementation of the same.
Follow up all contributors to proposals and submissions to ensure timely delivery of these documents.
Facilitate knowledge sharing and proactively engage with other Project and Technical administration staff in your office and in other offices.
Collaborate with other Project/Technical Administration staff in relation to technical issues, resource sharing and project issues.
Build strong relationships with team leaders, managers and other key staff, working together to build the Stantec business.
Create, develop and maintain materials and supporting information.
Maintain appropriate network within the company to facilitate identification and sharing of relevant information, best practices.
Lead, promote and contribute to a sense of community fun and team spirit with the team.
Administrative tasks as directed by the Regional Director in the Business Centre
Serve as the primary communication channel between the Australian business line and the Pune proposal team. Liaise closely with the Proposal Team Lead and proposal team members with a soft assignment to your business line.
Coordinate and prioritise proposal support requests based on business line needs, deadlines, and strategic importance.
Guide the Pune team in identifying and tracking relevant opportunities on tender portals, ensuring alignment with the business line’s focus areas and capabilities.
Provide clear briefs and context for each proposal opportunity, including win themes, key differentiators, and client insights where appropriate, depending on the Pune team’s contribution to each proposal.
Monitor and manage proposal timelines, ensuring the Pune team knows critical deadlines and milestones.
Encourage quality control and review of key proposals with the Proposal Team Lead to ensure quality, consistency, and compliance with client requirements. If necessary, escalate reviews to our Australian Business Centre leaders.
Facilitate regular check-ins and planning sessions with the Pune team to review workload, address challenges, and share updates.
Participate in regular touchpoints/meetings with the national proposal team to enable alignment across the Australian business in the proposals space
Support the Pune team’s maintenance of a centralised tracker of proposal activity, deadlines, and outcomes to support reporting and continuous improvement.
Support the annual renewal of subscriptions for relevant tender portals. Know the portal monitoring process and access details.
Collaborate with business line leaders and technical staff to gather necessary inputs and approvals for proposals.
Inform Pune team members of any additions or changes to key contacts in the Business Line, upcoming opportunities, and key focus/growth areas.
Identify opportunities to improve proposal processes, templates, and collaboration tools for greater efficiency and impact.
To be successful for this role you'll need:
Tertiary education in similar sector or an equivalent combination of education & related experience.
Have experience in an engineering consultancy, construction, or design sector background
Be accountable and drive quality by updating system and adhering to Stantec’s style guide.
Manage own workflow/outputs, within business priorities.

Have strong MS Office Skills, proficient in Word, PowerPoint.
Have a positive, can-do attitude and good attention to detail.
