Your Opportunity
Our Environmental Services group is looking for an experienced Administrative Assistant to provide support with the day to day administrative requirements for our northern California offices. The Administrative Assistant will perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Your Key Responsibilities
- Prepares correspondence, proposals, reports, schedules, minutes, spreadsheets, presentations, database lists, and contracts.
- Tracks equipment and vehicle inventory, maintenance, and performance metrics
- Serve as backup Timecard Administrator
- Organizes, attends and minutes meetings including the coordination and tracking of action items and deliverables.
- Processes expense reports, invoices, orders, timecards etc.
- Coordinates travel itineraries and arrangements.
- Assists with document control including filing and archiving.
- Assists with new hire coordination and staff onboarding.
- Assist with fleet management of business center vehicles.
- Performs other administrative duties as required.
Your Capabilities and Credentials
- Excellent written and verbal communication skills.
- Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments
- Ability to work effectively under pressure in a fast paced environment.
- Must be willing and able to take initiative when needed.
- Ability to deal with difficult situations and/or people.
- Proficiency in MS Office Suite.
- Clean DMV record.
- Ability to travel 20% of the time.
Education and Experience
High School Diploma with minimum of 5-6 years experience; or Post secondary degree in related field with minimum of 2-3 years experience; or equivalent combination of education and experience.
