Business Centre Administrator

Auckland – full time 40 hours (on site only)

The opportunity

We need a professional, friendly, and enthusiastic person to join our Auckland office as a Business Centre Administrator.  You will provide excellent customer service relating to the management, provision and delivery of administration to the Water team in Auckland.

In this role you'll provide 

·        Administration support as above ensuring quality and marketing standards are maintained

·        Co-ordinate, prepare and provide editing of proposals, reports, and correspondence as required.

·        Ensure that all proposals, reports and documents are completed within timeframes to the required standard.

·        Arrange Business Centre (BC) related meetings (including catering, venues and participants) as required.

·        Meet and greet clients on behalf of Stantec if required.

·        Prompt, efficient and courteous handling of messages and deliveries (receiving and delivery).

·        Provide backup for other Administrators across the Office (or country) as necessary.

·        Manage telephone calls as required. 

·        Follow up staff as required, to ensure all timesheets are completed correctly.

·        Ensure administrative systems operate effectively within BC.

·        Photocopying and binding of proposals, reports and other business documentation.

·        Assist BC Leads with HSSE and other induction requirements for new Office staff as required.

·        Assist the Group or Team Lead to address and rectify any BC specific HSSE corrective actions.

·        Assist with on/off boarding process of staff members including desk setups as required.

·        Ensure all Auckland based staff are trained in the Stantec Oracle system for the claiming of both credit card and cash expenses.

·        Undertake project work as assigned by the Sector teams.

·        Attend and take meeting minutes for internal and project related meetings as required.

·        Prepare organization charts, graphs and other presentation material as required.

·        Organization of Company hosted Team events, arrange venues, catering and event management.

·        Coordinate and produce photo montages, special images for reports and proposals

·        Provide relevant information to marketing and communication teams in relation to new wins, new staff and opportunities

·        Plan and execute work in a safe and acceptable manner

About you 

To be successful in the role, you will have experience in a comparable team administrator position, be self- motivated and have excellent Microsoft Office skills, particularly Word, Excel, and PowerPoint. If you have superior time management skills, the ability to prioritise, be well organized and capable of adhering to processes relating to quality, cost, health, safety, security and marketing standards, we want to hear from you.
