The opportunity
We need a professional, friendly, and enthusiastic person to join our Christchurch office as a Business Centre Administrator. You will provide excellent customer service relating to the management, provision and delivery of administration to the Buildings team in Christchurch.
In this role you'll provide
Administrative Support
- Co-ordinate, prepare and provide editing of proposals, reports, and correspondence as required.
- Ensure that all proposals, reports and documents are completed within timeframes to the standard as set either by the contract agreement or to Stantec’s Quality System, Project Quality Procedures and Marketing Policies.
- Arrange BC related meetings (including catering, venues and participants) as required for the BC teams ensuring any costs to be incurred have pre-approved expenditure request and organised on time and to budget
- Meet and greet clients on behalf of Stantec if required.
- Prompt, efficient and courteous handling of messages and deliveries (receiving and delivery).
- Provide backup for other Administrators across the Office (or country) as necessary.
- Manage telephone calls as required. Re-direct or provide initial response as appropriate.
- Follow up staff as required, to ensure all timesheets are completed in accordance with Stantec requirements.
General Administration
· Ensure administrative systems operate effectively within the BC and staff at all levels are appropriately involved and informed of any system changes.
· Assist BC Leads with HSSE and other induction requirements for new Office staff as required.
· Assist the Group or Team Lead to address and rectify any BC specific HSSE corrective actions.
· Assist with on/off boarding process of staff members including desk setups as required. Submitting purchase requests for new equipment if required.
· Induction of new staff members in Environmental Management System.
· Ensure all staff are trained in the Stantec Oracle system for the claiming of both credit card and cash expenses. Complete and submit expense reports on behalf of the BC team as required in compliance with Travel & Expense policy.
· Attend and take meeting minutes for internal and project related meetings as required.
· Prepare organization charts, graphs and other presentation material as required.
· Organization of Company hosted Team events, arrange venues, catering and event management ensuring any costs to be incurred have pre-approved expenditure request and organised on time and to budget.
- Provide assistance with IT/AV trouble shooting. Provide assistance in submitting IT Service requests for the team.
- Ensure staff changes and movements within the office are managed appropriately, and communication relating to these changes is communicated effectively.
- Set up and maintain filing systems (both online and hard copy) in accordance with Stantec policy.
- Assist with day to day maintenance of the kitchen including but not limited to maintaining tidiness, tidying up after BC group events/functions, dishwasher filling and emptying, notifying reception if supplies are running low or if any equipment requires servicing or repair/replacement. Assist with maintaining photocopiers including ensuring paper trays are refilled and submit service requests for photocopier faults, notify reception if supplies are required.
- Update the client database with new client contact details and other notes as appropriate.
- Support the office/BC equipment manager with the technical equipment register documentation and storage, maintenance and support requests for the BC’s existing technical equipment, provide support for any new equipment requests using in compliance with procurement processes, support any insurance claims for equipment losses and complete and submit any asset move/change requests to Finance for changes in technical assets.
Marketing and Communication
- Coordinate and produce photo montages, special images for reports and proposals in accordance with National Marketing standards.
- Provide relevant information to marketing and communication teams in relation to new wins, new staff, new opportunities.
- Assist with the population of SMKC database information (Pipeline, Personal Profiles, Project Profiles, Capability Statements). This includes working with new hires to add their information and educate them on the use of SMKC tool. Editing CVs and Profiles with the support of the Marketing Team.

About you
To be successful in the role, you will have experience in a comparable team administrator position, be self- motivated and have excellent Microsoft Office skills, particularly Word, Excel, and PowerPoint. If you have superior time management skills, the ability to prioritise, be well organized and capable of adhering to processes relating to quality, cost, health, safety, security and marketing standards, we want to hear from you.
